Party Terms and Conditions
Welcome to Secret Adventurers’ Club. We are delighted that you have chosen to celebrate with us. Our parties are all about curiosity, creativity, and connection with nature, and we want every child and adult to have a safe and enjoyable experience.
To help everything run smoothly, please take a moment to read the Terms and Conditions below. These explain how bookings, payments, and party arrangements work, and what we ask from parents and carers on the day.

1. Weather Policy
Our parties go ahead in all weather, as long as it is safe to do so.
If a Met Office weather warning is issued, or we determine that conditions are unsafe (for example, high winds, thunderstorms, or flooding), the party will be postponed.
We will contact you as soon as possible to arrange a new date that is mutually convenient.

2. Supervision
To ensure the safety and enjoyment of all children:

A minimum of two adults must remain present throughout the party to help supervise.

For parties with children under four years old, one adult per child is required, ideally a family member or carer.
3. Clothing
Please ask guests to come dressed for adventure.

Wear clothing suitable for outdoor play, and clothes that can get muddy.

If rain is forecast, wellies and waterproof clothing are essential.
4. Safety and Liability
All activities are carefully risk assessed and delivered with safety in mind. However, participation is at the parent’s or guardian’s own risk.
Secret Adventurers’ Club cannot accept responsibility for loss, damage, or injury unless caused by our negligence.
5. Health and Medical Information
Parents or guardians must inform us of any medical conditions, allergies, or additional needs before the party.
This helps us plan activities appropriately and ensure everyone’s safety.
6. Behaviour
We reserve the right to ask a child to sit out of an activity if their behaviour poses a safety risk to themselves or others.
Supervising adults are responsible for supporting and managing behaviour during the party.
7. Personal Belongings
We cannot take responsibility for personal items that are lost, damaged, or left behind during the party.
8. Payments and Cancellations
Booking and Deposits

Your party date and time are temporarily held for up to seven days after you receive your Party Plan.

To secure your booking, a non-refundable deposit must be paid within seven days of receiving the Party Plan.

Deposits can be paid by:

Bank transfer (details below), or

Online payment via the invoice we send you.

Please use your child’s name and party date as the payment reference.

Guest Numbers

Final guest numbers must be confirmed no later than seven days before the party date.

This allows us to ensure we have the correct number of staff, equipment, and materials to accommodate all children safely.

We will plan and prepare based on the confirmed number, and we may be unable to accommodate additional guests after this point.
Invoices and Final Payment

You will receive two invoices:

The first invoice is for the deposit.

The second invoice is for the full amount, with the deposit deducted once received.

The remaining balance must be paid no later than 24 hours before the start of the party.
Cancellations and Rescheduling

If you cancel more than 14 days before the party, your deposit can be transferred to a new date, subject to availability.

If you cancel within 14 days of your party, the deposit is non-refundable.

In the event of illness, severe weather, or other unforeseen circumstances, we will offer to reschedule your party to a mutually convenient date.

By confirming your booking and making payment, you agree to these Terms and Conditions.
